Dubsado Alternatives for Coaches: Who Should Switch, and to What (2026)

Quick answer: The best Dubsado alternatives for coaches depend on what Dubsado isn’t doing for you. Paperbell suits package sales and payments, CoachAccountable suits accountability programs, and Sage suits long-running one-on-one practices where session notes, goals and billing sit in one client record.

I run a career coaching practice with 33+ active clients, and I build Sage because my own stack was Notion, Cal.com and a spreadsheet. So I’m not neutral. Here’s how I’d choose, including the case where you should stay on Dubsado.

Why do coaches look for Dubsado alternatives?

The main reason to leave Dubsado is that it runs the business side well and the coaching side not at all. It covers leads, proposals, contracts, invoices and workflows. It doesn’t hold session notes, count sessions left in a package, or track a client’s goals over time. I covered that gap in Dubsado for coaches.

The other common trigger is setup effort and cost. Workflows are on the Premier plan, listed at $525 a year billed annually (Starter is $335), and you build each one yourself. Typical reasons I hear:

  • Notes live somewhere else. You still keep a second tool for what happened in each session.
  • Setup takes weeks. Forms, workflows and templates all start blank.
  • The portal isn’t built for coaching. Clients see invoices and forms, not their own progress.

What are the best Dubsado alternatives for coaches?

Pick by the job you need done, not by feature count. I’m describing what each tool is built around, not scoring it.

  • Paperbell. Built around packages, payments and scheduling for solo coaches. Good if your business is “sell a package, collect payment, run sessions.” I compare it in my Paperbell alternatives guide.
  • CoachAccountable. Built around accountability: programs, check-ins and tracking between sessions. Good if your value is the work clients do between calls.
  • Sage. Built around the client record: sessions, notes, goals, scheduling, billing and agreements together. It’s mine, so weigh that. I built it for a long-running one-on-one practice like mine.
  • A stack you assemble. A booking tool, a notes app and an invoicing tool. Cheapest on paper, but you do the copy-paste. Here are the five jobs any stack has to cover.

Is Dubsado still the right choice for some coaches?

Yes. Stay on Dubsado if you sell proposals and custom contracts, run many different offers, or serve clients in short projects rather than ongoing sessions. Its workflow automation is strong for that, and a coach who already built the workflows loses real time by moving.

The switch pays off when your pain is after the contract is signed: notes, session counts and client progress. Those are the parts Dubsado leaves to you.

How do you switch from Dubsado without losing client data?

Export first, move second. Run through this list before you cancel anything:

  1. Export clients, invoices and signed contracts. Keep the signed PDFs. They are your record.
  2. List your live workflows. Write down each trigger and what it sends so you can rebuild only the ones you use.
  3. Trial with three real clients. Dummy data hides the friction. One week of real sessions shows it.
  4. Check the client view. A good portal shows what a coaching client needs to see, not just invoices.
  5. Overlap for one billing cycle. Finish current packages in the old tool, start new clients in the new one.

FAQ

What is the best Dubsado alternative for coaches?
It depends on how you work. Paperbell fits package sales, CoachAccountable fits accountability programs, and Sage fits long-running one-on-one practices that need notes and goals in one place.

Is Dubsado good for coaches?
It’s good for the business side: contracts, invoices, forms and workflows. It doesn’t handle session notes, package counters or progress tracking, so you need a second tool for those.

Is there a free Dubsado alternative?
Sage has no free tier, but it has a 14-day free trial with no credit card. Dubsado itself offers a 21-day Premier trial. Check each tool’s client cap before you build on it.

Can I move my Dubsado data to another tool?
You can export clients, invoices and signed contracts and rebuild from there. Workflows usually don’t transfer, so list the ones you rely on and recreate only those.
